Terms of Service

1. Acceptance of Terms

By accessing or using any Real Simple Leads service ("the Service"), you agree to be bound by these Terms of Service. If you do not agree, please do not use the Service. These Terms apply to all products operated by Real Simple Leads, including the Real Simple Leads dispatch platform and Real Simple Expenses (including mileage tracking).

2. Description of Service

Real Simple Leads operates two products under these Terms:

• Real Simple Leads — A software platform for local service businesses including automated SMS messaging, AI-powered customer intake, technician dispatch management, customer relationship management, and invoicing tools. Integrates with Twilio (SMS/voice) and Stripe (payments).
• Real Simple Expenses — A mobile-first expense and mileage tracking application for contractors and field workers. Features include AI-powered receipt extraction from photos, GPS-based mileage tracking, SMS-based logging, Google Drive receipt storage, IRS mileage rate reporting, and team expense management. Available at exp.realsimpleleads.com.

3. Account Registration

To use any Service you must create an account with accurate information. You are responsible for maintaining the confidentiality of your credentials and all activity under your account. You must be at least 18 years old and authorized to enter binding agreements.

4. Subscription and Payment

Services are billed in advance on a monthly or annual basis depending on your selected plan. Real Simple Leads plans require a one-time setup fee. Real Simple Expenses offers a 7-day free trial; no credit card is required to start a trial. After the trial period, a paid subscription is required to continue using the Service. Cancellation takes effect at the end of the current billing period. No refunds are provided for partial periods.

5. Acceptable Use

You agree not to: send unsolicited messages; use the Service to harass, threaten, or harm any person; violate applicable laws including the TCPA; submit false, fraudulent, or misleading expense or mileage records; attempt unauthorized access to any account or system; or interfere with or damage our infrastructure.

6. SMS & Voice Compliance

You are solely responsible for compliance with applicable laws including the Telephone Consumer Protection Act (TCPA) and obtaining proper consent from call and message recipients. When using SMS features of Real Simple Expenses (such as texting receipts or mileage), standard carrier messaging rates may apply to your phone plan. Real Simple Leads is not responsible for your compliance with applicable telecommunications laws.

7. AI Features

Both products use AI for automated processing. Real Simple Leads uses AI for customer intake and dispatch. Real Simple Expenses uses AI to extract vendor names, amounts, dates, and categories from receipt photos and to parse mileage log text. AI extraction is an aid and may contain errors — you are responsible for reviewing and correcting all extracted data before relying on it for tax, accounting, or business purposes.

8. GPS and Location Data

Real Simple Expenses requests access to your device's GPS location when you use the trip tracking feature. Location data is used solely to calculate trip distance and to reverse-geocode start and end addresses. We do not track your location continuously or outside of active trip sessions. Start and end coordinates are converted to human-readable addresses and the raw coordinates are not stored permanently.

9. Google Drive Integration

Real Simple Expenses offers optional integration with Google Drive. If you authorize this integration, we receive OAuth credentials that allow us to create and upload files (receipt photos and reports) to a dedicated folder in your Google Drive account. We access only the specific folder we create. We do not read, modify, or access any other files or folders in your Drive. You may revoke this access at any time through your Google account settings or within the app.

10. Financial Data and Tax Disclaimer

Real Simple Expenses is a record-keeping tool, not a tax preparation or financial advisory service. Mileage deduction estimates are calculated using the IRS standard mileage rate you configure in the app and are provided for informational purposes only. These estimates do not constitute tax advice. You are responsible for verifying all records, consulting a qualified tax professional, and complying with all applicable tax laws and IRS requirements regarding business expense and mileage deductions.

11. Payment Processing

Invoice payments on the Real Simple Leads platform are processed through Stripe. Subscription billing for both products is processed through Stripe. We do not store credit card information. Stripe's terms and transaction fees apply separately from subscription fees.

12. Limitation of Liability

Real Simple Leads shall not be liable for indirect, incidental, special, or consequential damages, including lost profits, lost data, or business interruption. Our total liability shall not exceed fees paid in the three months preceding any claim. We are not liable for errors in AI-extracted data, GPS distance calculations, mileage deduction estimates, or decisions made based on information provided by the Service.

13. Termination

We may suspend or terminate accounts for violation of these Terms. You may cancel at any time through your account settings or by contacting us. Upon cancellation, your data is retained for 30 days then deleted, unless you request earlier deletion.

14. Changes

We may modify these Terms at any time with email notice to the address on your account. Continued use after the effective date constitutes acceptance of the updated Terms.

Privacy Policy

This Privacy Policy covers all products operated by Real Simple Leads, including the Real Simple Leads dispatch platform and Real Simple Expenses (realsimpleleads.com and exp.realsimpleleads.com).

1. Information We Collect

All products: Account information including name, email address, company name, and mobile phone number; subscription and billing information processed by Stripe; and messages sent through the platform.

Real Simple Leads only: Customer records you enter into the platform; inbound call recordings and AI-generated transcripts where the intake feature is enabled; technician profiles and location data shared during active dispatch sessions.

Real Simple Expenses only: Expense records including vendor names, amounts, dates, categories, and notes; receipt photos you upload or send via SMS; mileage trip records including start location, end location, miles, trip purpose, and date; vehicle description and IRS mileage rate you configure; Google OAuth credentials if you connect Google Drive (stored encrypted, used only to upload your files); and team member names and email addresses if you use team accounts.

2. How We Collect Information

Directly from you when you create an account, enter records, or upload files. Automatically via SMS when you text receipts or mileage logs to your account number. From your device's GPS when you use the trip tracking feature and grant location permission. From your Google account when you authorize the Google Drive integration.

3. How We Use Your Information

To provide and operate the Service; process and store the records you submit; power AI receipt extraction and mileage log parsing; calculate mileage deduction estimates using IRS standard rates; generate monthly and annual PDF reports; upload receipt photos and reports to your Google Drive when connected; send transactional SMS messages and notifications; process subscription payments; and improve our products.

We do not use your expense records, mileage data, or receipt photos for advertising, analytics sold to third parties, or any purpose other than operating the Service for you.

4. Location Data

When you use GPS trip tracking in Real Simple Expenses, the app requests your device's location. Location access is requested only when you actively start or end a trip. We use your coordinates to reverse-geocode a human-readable address (e.g., "123 Main St, Springfield") and to calculate road distance via a routing service. Raw GPS coordinates are used to compute these values and are not stored permanently in your account. Only the human-readable addresses and calculated mileage are saved to your trip record. You can deny location permission and log trips manually at any time.

5. Receipt Photos

Receipt photos you upload or text are temporarily stored on our servers to perform AI extraction (vendor, amount, date, category). After extraction, if you have Google Drive connected, the photo is uploaded to your Drive folder and the temporary copy on our servers is deleted. If Drive is not connected, the photo is stored on our servers and linked to your expense record. You can delete individual expenses and their associated photos at any time from within the app.

6. Google Drive Integration

If you choose to connect Google Drive, we store an encrypted OAuth access token and refresh token issued by Google. These tokens are used exclusively to create a folder ("Real Simple Expenses") in your Drive and upload receipt photos and PDF reports to that folder on your behalf. We do not read, list, search, modify, or access any other files, folders, or data in your Google account. You can revoke our access at any time through your Google Account settings (myaccount.google.com → Security → Third-party apps) or by disconnecting within the app, which immediately deletes our stored tokens.

7. Information Sharing

We do not sell, rent, or trade your personal data. We share data only as follows:

• Twilio — SMS and voice message delivery
• Stripe — Subscription billing and invoice payment processing
• Anthropic — AI processing for receipt extraction and mileage log parsing (data is not used to train models per our API agreement)
• Google LLC — File storage in your Google Drive when you authorize the integration
• OpenStreetMap / Nominatim — Reverse geocoding of GPS coordinates to street addresses (coordinates only, no account identifiers)
• OSRM (Open Source Routing Machine) — Road distance calculation between two GPS points (coordinates only)
• Law enforcement or courts — When required by law, subpoena, or court order

8. Call Recording (Real Simple Leads)

If you enable AI intake on the Real Simple Leads platform, inbound calls may be recorded and transcribed for dispatch purposes. You are responsible for notifying callers of any recording in accordance with applicable state and federal law.

9. Team Accounts

If you create a team account in Real Simple Expenses, the team owner can view expense and mileage records submitted by team members. Members are notified that they are joining a team account at the time of setup. Receipt photos uploaded by members are also copied to the owner's connected Google Drive, if applicable. Members may be removed by the team owner, which deletes their records from the team view.

10. Data Security

We implement industry-standard security measures including encrypted data transmission (HTTPS/TLS), encrypted storage of OAuth tokens, and session-based authentication. Passwords are hashed using bcrypt and are never stored in plain text. No internet transmission is completely secure, and we cannot guarantee absolute security.

11. Data Retention

Your account data — including expense records, mileage trips, and receipt photos stored on our servers — is retained while your account is active. Within 30 days of account cancellation or deletion request, your data is permanently deleted from our systems. Data already uploaded to your Google Drive is not deleted by us; you control that data directly. Stripe retains billing records per their own retention policy.

12. Your Rights

You may access, export, correct, or delete your data at any time within the app or by emailing us. You may request a copy of all data associated with your account. We respond to all requests within 30 days. To delete your account and all associated data, contact us at brooks@realsimpleleads.com.

13. Cookies

We use session cookies only — a single secure cookie to maintain your login session. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

14. Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from minors.

15. Changes

We will notify you of significant changes to this policy by email to the address on your account. The updated policy will be posted at this URL with a new effective date. Continued use after the effective date constitutes acceptance.
